Privacy Policy
For Easy Bank Reconcile, bank reconciliation software for Windows published by Software 4 All. Last updated: 24 September 2026.
This Privacy Policy explains what information Easy Bank Reconcile (the “Software”, the “App”) collects, why it collects it, who it is shared with, how long it is kept and how you can have it deleted.
Easy Bank Reconcile is developed and operated by Software 4 All (“we”, “us”, “our”). This policy is separate from our Terms and Conditions, which govern your use of the Software.
In short
Your bank statements are read and processed on your own computer. They are never uploaded to us or to any AI service. We hold only the account details you give us when you register, so that we can run your licence.
1. Information we collect
1.1 Information you give us when you register
To register and activate a licence, you provide the following, and we store it on our server:
| Data | Why |
|---|---|
| Username | Identifies your account and is how you sign in. |
| Mobile number and e-mail address | Sign-in, licence delivery, renewals and service notices. |
| Password | Used to sign you in. It is sent to our server over an encrypted HTTPS connection. |
| City and state | Regional configuration and support. |
| Dealer code | Associates your account with the dealer or reseller who supports you. |
| Accounting software, user type and number of companies | Whether you use Miracle, TallyPrime or both, and the licence you bought, so the right features and limits apply. |
| Serial number of your Miracle or TallyPrime licence | Ties your Easy Bank Reconcile licence to your accounting software installation. |
We also keep account records we create ourselves: your customer ID, registration date, licence type and expiry date, and any extra validity granted to you.
1.2 Bank statements and accounting data: processed only on your computer
- Statement files you import (PDF, Excel or CSV) are opened and read on your computer. Their contents are not sent to us.
- Statement passwords you enter for protected files are used only to open that file on your computer. They are not sent to us.
- Ledger and account names are read from your Miracle data folder or from TallyPrime on your computer or local network, so the App can suggest matches.
- Vouchers you approve are written directly into your Miracle or TallyPrime company. They are not copied to us.
1.3 On-device AI matching
The App suggests ledgers using a language model that is installed with the App and runs entirely on your computer. Your statement narrations are not sent to any external AI service, and your data is not used to train or improve any model.
1.4 Data stored on your computer
The App keeps the following in its own data folder on your computer:
- the column mappings and matching rules you create;
- a record of entries you have deleted, so they are not wrongly flagged as duplicates later;
- settings such as the location of your Miracle data folder and TallyPrime installation;
- your account details, so the App can show them on its About screen;
- an error log of technical problems. It stays on your computer and is sent to us only if you choose to share it with our support team.
This information is not transmitted to us.
1.5 Update and time checks
The App contacts our update server to check whether a new version is available and to
download it. It also asks a public time service (timeapi.io) for the current
date and time, to check the validity of your licence. Neither request includes your
statements, accounting data or personal details. As with any internet request, the
receiving server can see your IP address.
2. How we use information
- To create and authenticate your account.
- To issue, validate and renew your licence, and apply its company and user limits.
- To provide updates, including new and revised bank formats.
- To provide customer support when you ask for it.
- To send you service notices, such as a licence about to expire.
- To meet our legal and tax obligations.
We do not sell your personal information. We do not use it for advertising, and we do not share it with advertisers.
3. Who we share information with
| Recipient | What, and why |
|---|---|
| Our hosting provider | Operates the servers and database holding your account record. They process it on our instructions only. |
| Your dealer | The dealer whose code is on your account can see your account and licence details in order to support and renew you. They cannot see your statements or accounting data. |
| Authorities | Where we are required to disclose by law, or to establish or defend a legal claim. |
4. How we protect information
- Communication between the App and our servers is encrypted in transit using HTTPS/TLS.
- Your statements and accounting data never leave your computer, so they are not exposed to our servers at all.
- Access to the production database is limited to authorised administrators of Software 4 All.
You are responsible for the security of the computer the App is installed on, including the statement files and accounting data stored on it, and for keeping your password confidential. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Data retention and deletion
- Account record — kept for as long as your account exists, and deleted when you ask us to close it.
- Records we must keep by law — such as invoices for payments you made to us, retained for the period the law requires.
- Data on your computer — under your control. Uninstall the App and delete its data folder to remove your mappings, rules, settings and error log.
- Entries posted to your books — live in your Miracle or TallyPrime company and can be deleted there, or with the App's delete entries feature.
- Close your account. Write to sales@software4all.co.in from your registered e-mail address. We will delete your account record within 30 days, except anything we are required to keep by law, and confirm to you when it is done.
6. Your rights
You may ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, delete it, or withdraw a consent you previously gave. Write to sales@software4all.co.in and we will respond within 30 days.
7. Children
Easy Bank Reconcile is business software and is not directed at children. If you are under 18, you may register only with the consent and under the credentials of a parent or legal guardian. We do not knowingly collect personal information from children.
8. Changes to this policy
We may update this Privacy Policy from time to time. The revised version will be posted on this page with a new “Last updated” date. Continuing to use the Software after a change means you accept the updated policy.
